What is personal information?

In order to provide products and services to customers it will be necessary for the Eugene Folklore Society to collect a customer’s personal information. "Personal information" is information about a natural person that is readily identifiable to that individual, such as an individual's name, address, telephone number, email address, age, marital or family status, financial information, etc. A domain name or Internet Protocol (IP) address is not considered personal information. The Eugene Folklore Society does not collect personal information for children under 13 years of age.

Personal Information and Nondisclosure

We collect only personal information that we need for the purposes of providing products and services to our customers, including personal information needed to:

  • deliver requested products and services;
  • register a customer for membership, an activity or an event;
  • send out information to members and interested nonmembers.

We will inform you, before or at the time of collecting personal information, of the purpose for which we are collecting the information. We don’t provide this notification when a customer volunteers information for an obvious purpose, for example, using a credit card to pay a membership or event registration fee when the information is only used to process a payment.

We normally will ask for your consent to collect, use or disclose customer personal information, except in specific circumstances where collection, use or disclosure without consent is authorized or required by law. We will assume your consent to continue to use and, where applicable, disclose personal information that we have already collected, for the purpose for which the information was collected.

We will assume your consent where you volunteer information for an obvious purpose. For example if you send us an electronic mail message with a question or comment that contains personal information, or fill out a form that e-mails us this information, or use a credit card to pay for a product or service, the information is only used to respond to your request or process your payment.
A customer may withdraw consent to the use or disclosure of personal information at any time, unless the personal information is necessary for us to fulfill our legal obligation. We will respect your decision, but we may not be able to provide you with certain products or services if we do not have the necessary personal information.

How do we maintain personal information?

We will make reasonable effort to ensure personal information is accurate and complete. We rely on individuals to notify us if there is a change to their personal information that may affect their relationship with the Eugene Folklore Society. If you are aware of an error in our information about you, please let us know and we will correct it on request whenever possible. In some cases we may ask for a written request for correction.

We protect personal information in a manner appropriate for the sensitivity of the information. We will make reasonable effort to prevent any loss, misuse, disclosure or modification of personal information, as well as any unauthorized access to personal information.

How do we use personal information?

We use and disclose customer personal information only for the purpose for which the information was collected, except as authorized or required by law. If we wish to use your personal information for any new business purpose we will ask your consent.

We may not seek consent if the law allows this (for instance, in collecting a debt).

Your personal information will not be rented, sold or shared with another organization unless you have provided consent, except as authorized or required by law.

For secured-data transmission, this site uses the industry standard encryption software, Secure Socket Layer (SSL). The URL in your browser will change to "HTTPS" instead of "HTTP" when this security feature is invoked. Your browser may also display a lock or key symbol on its task bar to indicate invoked secure transmission. If these indicators are not present, any information is susceptible to interception by other parties. Most Internet e-mail communication will not be secure. If you are communicating sensitive information, you might want to consider sending it in by postal mail.
